We are hiring: Secretary in the areas of development cooperation, economic and cultural affairs (full-time)

The position is offered for one year, starting on 1st May 2026, with the option to be extended on the basis of a permanent contract.
Main duties:
- assist with managing schedules;
- prepare written communication (invitations, notes verbales, emails) to local authorities and diplomatic missions and monitor incoming replies;
- compile and update contact lists;
- prepare business trips (booking of flight tickets, organization of program, etc.) and assist with claiming of expenses;
- assist with organizing events (invitations, reservations, contacting service providers, etc.) and the program of visiting delegations from Germany;
- assist with file management;
- receive and forward incoming and outgoing documents and emails as well as manage email lists during the German Chairmanship in cooperating partner groups;
- accompany colleagues to meetings and take minutes; and,
- undertake online research and make telephone inquiries.
Qualifications required:
- Bachelor´s degree in public administration, international relations, political science, development cooperation or other humanities;
- minimum of 2 years relevant professional experience as a secretary or personal assistant, preferably in the area of international development cooperation in international organizations or embassies;
- excellent knowledge of spoken and written English; good knowledge of German will be an asset;
- to be able to use PC applications and online conference tools (Outlook, Internet, Word, Excel, PowerPoint, Zoom, Webex, MS-Teams);
- excellent knowledge of Zambia and its governmental system;
- good manners, very good communication skills, intercultural competence;
- to be reliable, discreet and able to work independently and have a high team spirit.
Regular working hours amount to 40 hours per week. Remuneration is paid according to the Embassy´s current salary grid. The employment contract is based on Zambian labor law.
Applicants without Zambian nationality are required to provide proof of their Zambian permanent residence and work permits.
Successful candidates have to undergo a health examination as well as a security check before being employed.
